How the Team Operates

Small teams, written playbooks, one point of contact

Every client account gets a small assigned team: the agents or assistants who do the work, and a supervisor who owns the account. The supervisor is your single point of contact. You never explain your business to a stranger twice.

All work runs from a client playbook: your scripts, procedures, routing rules, and escalation paths in one maintained document. When something changes in your business, the playbook changes first, then the team gets briefed. That order matters. It means no agent is ever improvising on your behalf.

Shift handoffs are written, not verbal. Whoever picks up your account sees open items, recent changes, and anything flagged for attention before touching a single call or task.

Training

Nobody touches live work untrained

Training happens in two layers: the craft, then your account. Both are tested before anything goes live.

Craft training

New agents drill the fundamentals: clear phone manner, accurate note taking, handling upset callers, data hygiene, and confidentiality. They practice on simulated calls and tasks, and they pass a skills check before joining any account.

Account training

Before joining your team, an agent studies your playbook, listens to recorded examples of your call types, and runs mock calls against your script. A supervisor signs off that the agent can represent your business before they ever speak to your callers.

Ongoing coaching

Training does not stop at launch. Supervisors review live work weekly and coach against real examples. When your playbook changes, the change is briefed and confirmed with each team member, not just posted somewhere.

Quality Checks

Inspected work, not assumed work

Quality is a routine, not a slogan. Here is what that routine looks like on a live account.

  • Call reviews. Supervisors score a sample of recorded calls each week against a checklist built from your script: greeting, accuracy, tone, and correct next action.
  • Task audits. Completed admin and data work gets spot-checked against source documents. Error patterns trigger retraining on that specific task, not a vague reminder to be careful.
  • Escalation reviews. Every escalated call or flagged task gets a follow-up look: was the escalation right, was it fast, and does the playbook need a new branch to handle it next time.
  • Client review sessions. On a regular schedule, your supervisor walks you through what the reports show, what was fixed, and what they recommend changing. You hear about problems from us, with the fix already underway.

When a whole process needs a team

Call answering, dialing, and assistants are the front door. Behind them sits a full outsourcing operation that can take on complete workflows.

Process takeovers
